Board Meeting – December 30, 2024
Mission: “The board’s responsibility to the community is to conduct operations of the building in a responsible and business-like manner.”
Bryan Bell opened the meeting at 7:02 p.m.
Officers in attendance: Bryan Bell, Roxana Stitt, Linda Wilbur, David Boller, Lucretia Smith. Absent: Aleta Boller, Janice Stroud
Members in attendance: Julie Bell, Woody Stitt,Jess Stitt, Jonathan and Kim Headrick, Sam and Nancy Bell.
Thank you to the Headricks for bringing us an upright freezer.

The November 2024 minutes were read. Motion by Sam Bell to accept minutes. Seconded by David Bollerl. Passed.

Sam Bell moved to accept the financial report; Woody Stitt seconded. The motion passed.
COMMITTEE REPORTS:
Calendar - Bryan Bell - January Rentals

CAR Show Committee-
Took pictures last weekend for new fliers for the car show. We will need about 100-150 fliers before January 18th which is the first car show of the year. We need to start gathering donations for raffles and give aways.
Sam - Perhaps we could allow some of our bigger donators to put up booths at the car show.
David - We need to get a 5 person committee together for details.
Jess - You should set up a kick off meeting date so when it is on Facebook people will know when to show up.
Old Business
Bingo has been changed to March 1st. Jess is working on getting gift cards. And we also need a black-out gift. We need to check our supplies of cards and daubers. Jessica Slavik is willing to provide snacks again. We will be adding chocolate. We will need about 5 volunteers on the night for concessions, check-ins, etc. A couple of people in the community have reached out to know when we are doing it again.
On January 7 we need to attend the PID meeting. There is a new company handling it. The new company man came to find out why our alarm keeps going off. He couldn’t find anything actually wrong. We have heard that the are going to raise the price to $80. That is a 33% increase which is ridiculous!
New Business
David Boller is offering to bring his truck to the center after a rental for trash pickup. Jess moved we add a $10 fee for the use of the truck. Jonathan Headrick seconded. Passed.
Sam - A few months ago someone brought up having a chili cook-off. Would it be worth messing with? Bryan - We could call Andy and see if he wants to do more with this. March would be the soonest we could do it.
Sam - What made me think of it is Haysville is having a Chili Cook-out/Craft Show/Bake Sale for the senior center. There is no fee to enter the cook-off, the winner got $100. We would sell the chili as a money maker. Craft vendors would donate one $10 item for a raffle drawing.
Jonathan - Have you found anyone to clean the building? Bryan - No, we haven’t found anyone yet. Luckily, everyone who has rented the building has done a good job of mopping the floors.
Miscellaneous Business
Jess - Can we add in our Bingo advertising that the proceeds are going toward redoing the floor? Bryan - Yes. And the Callaways donated their deposit last weekend to help with the floor. Jess - If we made the money with Bingo, could it be in by the car show? Bryan - Yes, if we could get enough volunteers. We need young guys that can get up and down off their knees. Woody - So that’s our next big project? Bryan - Yes. That would make the large room finished.
Lucretia - We have spent $5,959.00 in 2023, $9,257 in 2024 for building improvements.
Jess - I know you have been taking before and after photos. I would like to have a slideshow of those photos on the TV before the Bingo event. That could be a good way to show the community what is next and it could affect our donations.
Jonathan asked about our not for profit status. Jess suggested that we put the floor on hold and use money to get a lawyer to get our process going to change from not for profit to non-profit.
Jess moved that we hire a lawyer to help with this mess. Linda seconded. Passed.
